Position Overview

The Warehouse & Shipping Logistics Coordinator is responsible for planning, organizing, and overseeing the administrative functions that support warehouse and shipping operations. This role ensures that all shipments are accurately processed, properly documented, and efficiently coordinated between internal departments, carriers, and customers. The ideal candidate is detail-oriented, organized, and able to thrive in a fast-paced logistics environment.


Location: Tulsa, OK

 

 Key Responsibilities

  • Perform warehousing and inventory tasks as needed, including organizing loose materials for projects and tagging or QR-coding crates and components.

  • Coordinate with crating vendors and assist with packaging when required.

  • Visit local shops as necessary to apply tagging, verify packaging, take shipping photos, and collaborate directly with shop logistics teams.

  • Coordinate all incoming and outgoing shipments, ensuring accurate documentation and timely delivery.

  • Schedule carrier pickups and deliveries; communicate shipment details to vendors, customers, and warehouse staff.

  • Prepare and verify shipping documents such as bills of lading, packing slips, and customs forms.

  • Maintain shipping and inventory records in company logistics/warehouse management systems.

  • Track and trace shipments to confirm delivery status and resolve any transit issues or delays.

  • Generate and analyze shipping, receiving, and inventory reports for management.

  • Serve as the main point of contact between warehouse operations, purchasing, and customer service teams.

  • Monitor carrier performance and assist with freight rate quotes and cost analysis.

  • Support process improvements related to shipping accuracy, on-time performance, and cost efficiency.

  • Ensure compliance with company policies, shipping regulations, and safety standards.

  • Forklift certification a plus.

  • Excellent organizational and multitasking skills.

  • Strong communication and problem-solving abilities.

 

 Qualifications

  • Education: High school diploma or equivalent required

  • Experience: 2–4 years of administrative experience in logistics, shipping, or warehouse coordination.

  • Strong understanding of logistics processes and documentation.

  • Proficiency in Microsoft Office (Excel, Outlook, Word); experience with logistics software (SAP, NetSuite, WMSA, etc.) preferred.

  • Excellent organizational, communication, and problem-solving skills.

  • Strong attention to detail and ability to manage multiple priorities.

  • Customer-focused with a proactive and professional approach.
